PTA Winter Carnival Meeting

  1. Winter Carnival has been scheduled on December 18 which is the last school day of the year 2009. There was some misunderstanding regarding the activities and the MYP/DP exam schedule. Dr. James and Mr. Laurent mentioned that the reason we chose last day of school for exam is to make sure that all students come to the school until last day, in the past years the student often skipped their last day of school before the long break.

  2. In the meeting we have finalized the activities starting time (Dec 18) of each divisions:
    1. EYP / PYP will start the day with a party in their class and will be joining the carnival fair from 9:00am onwards
    2. MYP / DP, the principals have agreed to start the last exam at 8:00am sharp so the exam will be finished by 10:00am sharp. All the activities and booths shall be started by 10:15am the latest.
      • MYP Exam will take place in the GYM
      • DP Exam will take place on the third floor of the Amphitheater (Newly build area)

  3. Dr. Ian has reported that the school will still have some snack lunch to distribute for free to students from Nursery to Grade 5. Sodexho will set up a table near the canteen. The students could go pick up their lunch at one specific area.

  4. Facilities set up: There are 2 types of facilities set up this year.
    1. Major Set up: This will mostly take place in the soccer field and the vendor will need to start their set up on Thursday 17 e.g. Ferris wheel, Ball House etc. Khun Natthapon will keep us updated on what will be set up on the Soccer filed. Dr. Ian will inform Khun Natthapon what time vendor will be allowed to start their set up on Thursday 17.
    2. Minor Set up: This is more for Tents, Booths and for food and games including the Stage which will be taking place around the outdoor Basketball field.
      • Khun Suparp is now working with Khun Joy (Mile’s mom G.5) on the variety of food booths and games booths e.g. Tacos, Noodles, Cotton candy etc. Damping Beauty (Sao Noi Tok Nam) etc. (Not yet finalized / To be announced) This will be final by November 23 and Khun Suparp will type up all details and inform the school.
      • MYP/DP student are also expected to arrange game booths. Dr. Ian was also asked to inform CIS staffs and teachers if they are interested in opening booths or arranging any performance?!
      • Khun Suparp is also in contact with Pepsi company to rent different sizes of tents and umbrellas that we will be needing for the fair
      • Product selling booths are open to sell from 8:00am onward if they are ready. There will also be a book booth as said by Khun Varnnee.
      • Dr. Ian has advised that we should have one power cord for each booth which we could pull out from each window. For other equipments usually the seller will bring in by himself as we might not have enough for all the booths e.g. Table and Chair
      • Stage: Dr. Ian will discuss with Mr. David whether the school has adequate stage equipment? As mentioned by Khun Peter if the school does not have sufficient stage equipment then that is something for the PTA to look in to!
      • Audio Equipment: According to Mr. David we have enough equipment.

5. Selling Tickets and Coupons:

    1. Dr. Ian has advised that it is best to start selling ticket a week before the fair at minimum 200 baht per person. We will also give 5 free tickets to all PYP students in case the students were dismissed from their class before their parent arrival.
    2. Dr. Ian will be asking Jennifer to buy several rolls of tickets of different colors from the States as Jennifer will be flying back during December 4-7.However if these tickets are not enough we shall buy those small, colors coupons booklet from the market (บัตรทอง). This is to be finalized by the PTA on how each different colors coupon will be use as this is also based on the food / game pricing.
    3. Khun Suparp has requested Dr. Ian for some manpower of the school to help selling tickets/coupons in 3 areas around the school on the fair day. This will be better for parents understanding that the money have been under control by the school and not to benefit to any parent. Khun Supard asked because there were questions from last year!
    4. In the meeting we all agreed that the money raised by the PTA from this fair will be manage by the PTA for Disaster relieve fund in the future. Khun Peter was mention that there should be a separate account/book for this kind of fund and Khun Varnnee could co-sign in order to wit draw money. Khun Varnnee and Khun Peter will work to get this new account open as soon as possible and will also make sure that this will be a TAX free account. Khun Suparp suggests that it is a good idea that the school could issue a letter to all parents clarifying this matter.
